Terms and Conditions of the Online Shop

English translation for information only. The legally binding version of this document is the Polish one. In case of any discrepancy, the Polish version prevails. These Terms and Conditions set out the rules for using the Alfa System online shop, the rules for concluding and performing distance sales contracts, the rights and obligations of the Seller and Customers, as well as the complaint and withdrawal procedure. The Terms and Conditions are made available free of charge before the contract is concluded — they can be printed or saved at any time.

§1. Seller's Details

  1. The online shop is run by Alicja Włodarczyk, conducting sole proprietorship business under the name ALFA SYSTEM Alicja Włodarczyk, entered in the Central Registration and Information on Business (CEIDG), hereinafter referred to as the "Seller".

§2. Definitions

  1. Shop — the online shop run by the Seller at alfasystem.com.pl.
  2. Customer — a natural person with full legal capacity, a legal person, or an organizational unit without legal personality to which the law grants legal capacity, making purchases in the Shop.
  3. Consumer — a Customer who is a natural person performing a legal act with the Seller that is not directly related to their business or professional activity.
  4. Sole trader with consumer rights — a natural person concluding a contract directly related to their business activity, where it is clear from the contract's content that it is not of a professional nature for that person, resulting in particular from the scope of the business activity made available in the CEIDG.
  5. Product — a movable item (including a device, software or consumable) presented in the Shop and being the subject of a sales contract.
  6. Order — a Customer's declaration of intent aimed directly at concluding a sales contract for a Product via the Shop.
  7. Business day — a day from Monday to Friday, excluding statutory public holidays.

§3. General Provisions and Technical Requirements

  1. To use the Shop, a device with internet access, an up-to-date web browser with JavaScript and cookies enabled, and an active e-mail address are required.
  2. The Customer is obliged to use the Shop in a manner consistent with the law and good practice, in particular not to provide content of an unlawful nature.
  3. Information about Products provided in the Shop, in particular their descriptions, technical parameters and prices, constitutes an invitation to conclude a contract within the meaning of Article 71 of the Civil Code (Kodeks cywilny).
  4. All Products offered in the Shop are brand new, unless otherwise stated in the Product description, and have been legally placed on the Polish market.

§4. Placing Orders

  1. Orders can be placed through the Shop 24 hours a day, 7 days a week. Orders placed on non-working days are processed on the next Business day.
  2. The Customer may place an order after creating an account or without registration (as a guest).
  3. To place an order, the Customer: (a) adds Products to the cart, (b) provides the data necessary to process the order, (c) chooses the delivery method and payment method, (d) reviews and accepts the Terms and Conditions and the Privacy Policy by ticking the relevant checkbox, (e) confirms the order using the "Order with an obligation to pay" button.
  4. Before placing the order, the Customer sees the total price of the Products, the delivery cost and the total amount payable.
  5. Immediately after the order is placed, the Seller sends a confirmation of its receipt to the e-mail address provided. The sales contract is concluded when the Customer receives this message. The confirmation contains the content of the concluded contract and the Terms and Conditions.
  6. Some Products in the Shop are marked "Price on request". The price of such Products depends on the configuration, quantity and scope of implementation and is agreed individually with the Seller (by phone or e-mail) before the contract is concluded — the Shop does not allow placing an order for these Products without agreeing the price first.

§5. Prices

  1. The prices of Products given in the Shop are gross prices (include VAT) and are expressed in Polish zloty.
  2. Prices do not include delivery costs. Delivery costs depend on the chosen delivery method, are described in §7 and on the Delivery and payment page, and are shown to the Customer before the order is placed.
  3. Choosing online payment, a traditional bank transfer or cash on delivery does not involve any additional fees for the Customer.
  4. For every order, the Seller issues a fiscal receipt or — at the Customer's request — a VAT invoice.

§6. Payment Methods and Deadlines

  1. The Customer may choose the following payment methods:
    1. Online payment via Przelewy24 — a fast online bank transfer (pay-by-link), BLIK, and Visa and Mastercard payment cards. Payment should be made immediately after placing the order.
    2. Traditional bank transfer to the Seller's bank account: ALFA SYSTEM Alicja Włodarczyk, ul. Zemborzycka 53, 20-445 Lublin, account no. PL04 1140 2004 0000 3702 8310 8028, quoting the order number in the transfer title. The payment deadline is 7 days from the date the contract is concluded.
    3. Cash on delivery — in cash or by card (if the courier has this option) on receiving the parcel from the courier.
  2. The entity providing online payment services is PayPro SA, ul. Pastelowa 8, 60-198 Poznań, entered in the Register of Entrepreneurs of the National Court Register (KRS) under number 0000347935, NIP 7792369887, REGON 301345068 — the operator of the Przelewy24 service.
  3. The card payment operator is PayPro SA Agent Rozliczeniowy, ul. Pastelowa 8, 60-198 Poznań, entered in the Register of Entrepreneurs of the National Court Register kept by the District Court Poznań – Nowe Miasto i Wilda in Poznań, 8th Commercial Division of the National Court Register, under number KRS 0000347935, NIP 7792369887, REGON 301345068.
  4. If payment is not made by the deadline indicated in section 1(b), the Seller may, after first calling on the Customer to pay within an additional period, withdraw from the contract.
  5. Instalment financing or leasing are offered separately by financing entities — details on the Instalment purchases page.

§7. Delivery

  1. The Seller delivers within Poland.
  2. Available delivery methods and their costs (gross):
    • Courier delivery — the cost depends on the total weight of the order: up to 10 kg — PLN 25.00; 10 to 20 kg — PLN 29.00; 20 to 30 kg — PLN 32.00; 30 to 50 kg — PLN 95.00; 50 to 300 kg (pallet shipment) — PLN 219.00; 300 to 500 kg — PLN 269.00; 500 to 1000 kg — PLN 449.00. The cost of delivering shipments over 1000 kg is agreed individually and given to the Customer before the contract is concluded.
    • InPost parcel locker — parcels up to 25 kg and no larger than 64 × 38 × 41 cm — PLN 23.99.
    • In-store pickup at the Seller's premises (ul. Zemborzycka 53, 20-445 Lublin), Monday to Friday, 8:00 a.m.–4:00 p.m. — free of charge.
  3. The shipping time for Products available in stock is up to 2 Business days, counted from the day the payment is credited to the Seller's account, or, in the case of cash on delivery, from the day the contract is concluded. Courier delivery usually takes 1–2 Business days.
  4. In the case of in-store pickup, the Seller informs the Customer by e-mail or phone that the order is ready for collection.
  5. If a Product is ordered specially or requires configuration (e.g. fiscalization, programming), the Seller informs the Customer of the expected completion date before the contract is concluded.
  6. The Customer should check the parcel on receipt. In the event of damage to the parcel, it is recommended to draw up a damage report in the courier's presence — this does not affect the Consumer's rights arising from the law.

§8. Right of Withdrawal

  1. A Consumer, and a Sole trader with consumer rights, who has concluded a distance contract may withdraw from it within 14 days without giving any reason and without incurring costs, except for the costs indicated in section 6.
  2. The period begins when the Consumer, or a third party other than the carrier indicated by the Consumer, takes possession of the Product, and in the case of a contract covering multiple Products delivered separately — from taking possession of the last of them. To meet the deadline, it is enough to send the declaration before it expires.
  3. The declaration of withdrawal can be submitted by e-mail to biuro@alfasystem.lublin.pl or in writing to the Seller's address. You may use the sample withdrawal form (Appendix No. 1), although this is not obligatory. The Seller will promptly confirm receipt of the declaration.
  4. The Seller shall refund the Consumer all payments received, including the delivery cost (except for the additional costs resulting from the Consumer's choice of a delivery method other than the cheapest one offered), promptly and no later than within 14 days of the day the declaration of withdrawal is received.
  5. The refund will be made using the same payment method the Consumer used, unless the Consumer agrees to a different method that does not involve any costs for them. The Seller may withhold the refund until the Product is received back or proof of its return is provided, whichever occurs first.
  6. The Consumer shall return the Product to the address: ALFA SYSTEM Alicja Włodarczyk, ul. Zemborzycka 53, 20-445 Lublin, promptly and no later than within 14 days from the day of withdrawal. The Consumer bears the direct cost of returning the Product.
  7. The Consumer is liable for any diminished value of the Product resulting from using it in a way beyond what is necessary to establish its nature, characteristics and functioning.
  8. The right of withdrawal does not apply in the cases indicated in Article 38 of the Consumer Rights Act (ustawa o prawach konsumenta), in particular with regard to contracts: (a) in which the subject of the performance is a non-prefabricated item, manufactured according to the Consumer's specification or intended to meet their individual needs; (b) in which the subject of the performance is computer software delivered in sealed packaging, if the packaging was opened after delivery; (c) for the supply of digital content (e.g. a software licence) not delivered on a tangible medium, if performance began with the Consumer's express consent before the withdrawal period expired and after they were informed of the loss of this right; (d) for the provision of services (e.g. fiscalization, configuration, implementation), if the Seller has fully performed the service with the Consumer's express consent, having informed them before the service began that they would lose the right of withdrawal once it was performed.
  9. The right of withdrawal does not apply to Customers who are entrepreneurs, subject to section 1 with regard to Sole traders with consumer rights.

§9. Complaints — Lack of Conformity of the Product with the Contract

  1. The Seller is obliged to deliver a Product that conforms to the contract. Towards Consumers and Sole traders with consumer rights, the Seller is liable for any lack of conformity of the Product with the contract that exists at the time of delivery and is discovered within 2 years of that time, on the terms set out in Chapter 5a of the Act of 30 May 2014 on Consumer Rights.
  2. In the event of a lack of conformity of the Product with the contract, the Consumer may request its repair or replacement, and in the cases indicated in the Act — submit a declaration on a price reduction or withdrawal from the contract. The cost of repair or replacement, including the cost of delivering the Product, is borne by the Seller.
  3. Towards Customers who are entrepreneurs (other than Sole traders with consumer rights), the Seller is liable under warranty (rękojmia) on the terms set out in Article 556 et seq. of the Civil Code (Kodeks cywilny).
  4. A complaint can be submitted by e-mail to biuro@alfasystem.lublin.pl or in writing to the Seller's address. It is recommended to provide: the Customer's details, the order number or proof of purchase, a description of the non-conformity and the date it was found, and the Customer's request.
  5. The Seller will respond to the complaint within 14 days of receiving it and inform the Customer of how it was handled.
  6. A manufacturer's guarantee is granted for many Products, on the terms set out in the warranty card. The guarantee does not exclude, limit or suspend the Consumer's rights arising from the provisions on the lack of conformity of the Product with the contract. §10. Services Provided Electronically

  1. The Seller provides the following services electronically free of charge: maintaining a Customer account, the order form, the contact form, and the newsletter (subject to consent).
  2. The account maintenance agreement is concluded for an indefinite period upon its creation; the other services are provided on a one-off basis or until cancelled. The Customer may cancel a service at any time, in particular delete their account or unsubscribe from the newsletter.
  3. Complaints regarding electronic services can be submitted in the manner indicated in §9(4); the Seller handles them within 14 days.

§11. Personal Data and Cookies

  1. The controller of Customers' personal data is the Seller. The rules for processing personal data are described in the Privacy Policy.
  2. The rules for the use of cookies are described in the Cookie Policy.

§12. Out-of-Court Methods of Handling Complaints and Pursuing Claims

  1. The Consumer may use out-of-court methods of handling complaints and pursuing claims, in particular by contacting the municipal or district consumer ombudsman, the Provincial Trade Inspectorate in Lublin (Wojewódzki Inspektorat Inspekcji Handlowej) with a request to initiate mediation proceedings, or a standing amicable consumer court.
  2. Information on out-of-court dispute resolution methods is available on the website of UOKiK (Office of Competition and Consumer Protection): uokik.gov.pl.
  3. The use of out-of-court dispute resolution methods is voluntary.

§13. Final Provisions

  1. In matters not regulated by these Terms and Conditions, the provisions of Polish law apply, in particular the Civil Code, the Consumer Rights Act, and the Act on Providing Services by Electronic Means (ustawa o świadczeniu usług drogą elektroniczną).
  2. The provisions of these Terms and Conditions do not exclude or limit the rights of Consumers and Sole traders with consumer rights arising from mandatory provisions of law.
  3. The Seller may amend these Terms and Conditions for valid reasons (e.g. changes in the law, payment or delivery methods). Orders placed before the amendment are governed by the Terms and Conditions in force on the date the order was placed.
  4. These Terms and Conditions are effective as of 11 September 2026.
